Around May 16th 2025, the NYS Office of Cannabis Management distributed a message to operators regarding important deadlines.
To summarize these dates and how it impacts Distru:
The OCM email is simply informing you that your system will need to integrate with the BioTrack system once it goes live.
While the email mentions a June 15th deadline, please note that Distru is ready to proceed as soon as BioTrack is ready.
BioTrack still needs to activate the NY region, provide integrators with production API keys, and once that’s done, Distru be able to activate the integration.
The notice in its entirety for reference:
Good afternoon,
This notice is to provide an important update regarding your seed-to-sale system integration.
Effective June 15, 2025, all licensees must use an electronic inventory tracking system that integrates with BioTrack NY to track cannabis inventory in real-time.
As outlined in the November 18, 2024 notice, the Office is preparing for the integration of each licensee’s inventory tracking system with BioTrack NY, the State’s seed-to-sale compliance system, via an application programming interface (API). The API was included in that communication for sharing with your inventory tracking system vendor.
Licensees who fail to use a real-time electronic inventory tracking system capable of integrating with BioTrack NY may face fines and penalties. In addition to other penalties, it may affect your ability to renew your license or permit, receive an additional license or permit, or to amend or change information in your license or permit, etc.
Key Requirements:
A real-time electronic inventory tracking system refers to an on-site system capable of tracking cannabis product inventory and any related adjustments—such as cultivation, processing, transport, laboratory testing, distribution, waste, sale, disposal, product return, or other activities—at the time the product is moved or adjusted.
It is not acceptable to manually track the movement of cannabis product using paper records or electronic spreadsheets (e.g., Excel, QuickBooks) that cannot integrate with the Office’s backend system. Manually entering inventory movement after it occurs is also not compliant.
Integration Deadlines by License Type:
August 1, 2025: Licensed Cultivators, Microbusinesses, Registered Organizations, and Permitted Laboratories
September 1, 2025: Licensed Processors and Distributors
October 1, 2025: Licensed Retail Dispensaries
The Office will distribute an initial allotment of inventory tags to licensees at no cost. Each tag contains a unique identifier linked to one piece of inventory.
Free inventory tags will be available in your STS account once your inventory tracking system is integrated with BioTrack NY:
2,500 tags per licensed Cultivator
750 tags per licensed Processor
750 tags per licensed Microbusiness
750 tags per licensed Distributor
3,250 tags per Registered Organization (RO)
Instructions on accessing, printing, and purchasing additional tags can be found here:
