Once you receive your annual license, you can contact Metrc to get your credentials to login. One person will have to be the admin who then adds others and assigns the employee permissions. Whoever has the right permissions will need to do the following in order to get setup.
NOTE: We strongly recommend having a few people get Metrc going first before you start getting your whole team on. When inviting team members, please note that they will need to add their Metrc user key to Distru before they can start using it.
Order Tags
This is the first thing you should do because you have only three days to place an order of tags once you get access to Metrc. You place orders under Admin > Tag Orders > New Tag Order in Metrc. Here are some things to keep in mind:
Be sure to order your next set of tags before existing ones run out (they take about 1-2 weeks to arrive).
You can’t place an order for another set of tags before your first set arrives and are marked as received
Every licensee will have a different limit on how many tags they can order at once. You'll see this limit when you're trying to order tags in Metrc.
If you're a distributor. You might see that your limit for tags is zero. If this is the case, you'll need to contact the BCC as you'll need to order your tags directly from the BCC instead of Metrc. We recommend that you order whatever limit the BCC allows you to order. (You should also ask them how re-ordering will work)
Add Employees
To add employees, go to Admin > Add Employees.
The email does not need to match the email used for the employee in Distru.
As of now you're not legally required to add everyone in your facility based on California law, but eventually we may have to do so because that’s how other states operate. (It's best practice just to enter every employee, even if they won't be given access to the system)
You can disable access to Metrc for any employee by unchecking the "Enable online access to this Facility" button in the Add or Edit Employee form.
For the HOME section it will be the default section people see when they login; we recommend using Packages as the home screen.
You can select all facilities that employee will be linked to from the top right corner of the Add or Edit Employee form.
Add Strains
To add strains, go to Admin > Strains > Add Strains. Strains are required for Items with the category of "Flower" in Metrc. If you have no "Flower" items, you can skip this step. Otherwise, you'll need to create your strains.
The name should just be the strain name i.e. Gelato (the strain name doesn't really matter)
Strains must be created in Metrc first before Items, as Items of type “Flower” require a strain.
If you are setting up your manufacturing license, you will select Testing Status: None. If you’re a distributor, select the appropriate choice from the dropdown, which will be Third Party Testing, most likely.
THC and CBD fields are for internal use, and aren't mandatory.
You can select all facilities to which the strain connects to.
You can hit the + icon to add multiple strains at once to save yourself time.
Click ‘Create Strains’ to save.
Add Items
To add items, go to Admin > Items > Add Items. For any "Flower" Items, you'll need to have created their Strain counterparts first.
You should add all cannabis touching products: ingredients, source material, work-in-process products, and finished goods. You MAY be able to get away with not having to add EVERY WIP product if you are a manufacturer with multi-step extractions and such, but you will need to verify this with the CDPH.
Please note that you will need to create a separate product for each sep. weight. For naming conventions, please check out our article. It is very important that you follow good naming conventions, unless you have a really good reason not to
Include“Beginning Inventory”in item name
i.e. “GSC - Vape Cartridge 1g - Beginning Inventory
Stick with 1 unit of measure for each unit type if possible (i.e. for WeightBased if use Grams, then instead of using 1kg, it would be 1000g)
NOTE: You have to manually add Strains and Items in Metrc one by one, there is no CSV upload that you can do.
Next Steps
Now that you have completed or at least started your Metrc setup, we'll need to setup either your Distru account with Metrc or have you create a new account which we then sync with Metrc. Details of the decision are covered in this article.
Please schedule a time with us to go over this.
